FOREVER Digitization Connection - Once Your Box Arrives

Hello everyone, and welcome to this week's FOREVER Digitization Connection!

Last week, we discussed how to prepare and pack your FOREVER Digitization Box. Today, let's explore what happens once your box arrives at our Digitization Facility!

Upon arrival, the first step is to check in your box. Our logistics team scans each box into our system using the QR code provided with your order label. At this point, you will receive an email notification confirming the safe arrival of your box. Once checked in, the boxes are carefully sorted by their date of arrival, ensuring they are processed in the correct order. After all the boxes for the day are checked in, we begin the inventory process.

We start by opening your box and meticulously examining all the items you've sent. Our first point of reference is your order sheet, which guides us in accommodating your specific instructions.

During this stage, we check for any items that appear damaged or show signs of mold. If such items are found, we assess whether they can be cleaned or repaired sufficiently to produce a quality digitization result. If feasible, we will contact you to discuss whether you would like us to attempt to clean and digitize these items or exclude them from your order. Additionally, we check for compatibility. A very small amount of media formats produced over the years are incompatible with our systems. If we encounter any such items, we mark them as "DO NOT PRODUCE" and store them securely until the rest of your order is completed.

Once we've determined which items can be digitized, we prepare your estimate. We look for the barcode stickers you placed on your items to maintain your organizational structure. Each item is entered into our order tracking system, identified, titled, and counted if necessary. We then scan the barcodes to ensure accurate information linkage. We also check for any additional items, such as flash drives or DVDs, that need to be included. After verifying the accuracy of titles and other information, we apply any applicable discounts and send you the final estimate.

At this point, please review the estimate carefully to ensure everything is correct. If you notice any issues, contact FOREVER Client Care before paying for any overages. Once overages are paid, no further edits can be made to the order. If everything looks good, proceed with the payment so your order can be digitized.
